PROGRAM POLICIES & PROCEDURES

We are excited to welcome you to our new temporary home at Bainbridge Cinemas, Theater 3. Some of our procedures will have changed to adapt to our new space. Please review the following policies and submit your acknowledgement at the bottom of this page. Let us know if you have any questions and welcome back!

COVID-19 PROTOCOLS
Your safety and comfort is very important to us and we will be taking care to follow the CDC guidelines with regard to social distancing practices and masking. Currently neither is mandatory, but you are more than welcome to wear a mask in rehearsal if you choose to. Please let us know if there is anything else we can provide or steps we can take to make you feel as safe as possible.

  • Anyone experiencing any symptoms of illness such as cough, shortness of breath or difficulty breathing, fever of 100 F, chills, new muscle aches, headache, sore throat, or new loss of taste or smell is prohibited from attending rehearsals or performances until a negative COVID-19 test result can be confirmed.

  • If you have been exposed to COVID-19, wear a high-quality mask for 10 days and get tested on day 5. Please do not attend rehearsals until a negative COVID-19 test result can be confirmed.

PROVIDE A POSITIVE ROLE MODEL

Because many of our programs involve youth, it is important to make sure that all language and communication is of an appropriate nature for the programs in which young participants are involved. This means profanity, inappropriate behavior, or sexual harassment will not be tolerated. No alcohol consumption or drug use by cast members or crew is allowed on the premises. All discipline problems should be referred to the stage manager or BPA staff member in charge of that program.

CONDUCT WITH MINORS POLICY

BPA is a community organization that strives to educate and inspire, among others, children. In accordance with our organizational values, providing our youth participants with a safe and nurturing environment is of paramount importance to BPA. All persons associated with BPA whether employees, independent contractors, volunteers or visitors shall have no private, one-to-one contact and communications with minor students, actors, and assistants either on or off the BPA premises. Another adult shall be present at all times or contact shall take place in a public area or monitored by a third party. A minor is anyone under the age of 18. Individuals who are 18 years of age but are enrolled in K-12 education and are participating as students in BPA programs are included in this policy. “One-to-one contact and communications” may include, but is not limited to: private phone or email communications, social media, car rides, private rehearsals, and any other interaction that is not in full view of others or monitored by at least one other adult.

EMERGENCY PROCEDURES

In case of an emergency, notify the stage manager or teacher immediately. Do not attempt any emergency medical treatment unless you are trained in first aid or CPR. If the situation is life threatening, call 911. For liability and religious reasons, please follow this emergency procedure.

First Aid First aid supplies are located in the stage manager’s rehearsal kit, as well as in the dressing room. It is necessary to report any injuries to the stage manager or instructor, regardless of their severity, to ensure the legitimacy of any future medical claims. Accident forms must be filled out and given to the stage manager or instructor to be kept on file.

BPA ATTENDANCE POLICY

Show schedules with all the rehearsals and performances will be distributed at the auditions. It is the actor’s responsibility to be available for all of these rehearsals or to communicate conflicts accurately to the stage manager. REHEARSALS

Actors should arrive at rehearsal at the call time ready to work. If you are going to be late for some unforeseen reason, please call or text the stage manager’s cell phone as soon as you become aware of the situation and leave a message with your expected time of arrival. Come to rehearsal prepared with your script, pencil, and paper for notes. Homework or a book are recommended for offstage rehearsal time for our younger actors. All rehearsal schedules and announcements will be emailed to the cast. If you do not use email, do not check it daily, or have more than one email address, please tell the stage manager. An updated rehearsal schedule is also available in the show Dropbox or Google folder along with a contact sheet and other important production info. The facility is open no earlier than 1-1⁄2 hours prior to curtain for shows and 1⁄2 hour prior to rehearsals without prior arrangement with the stage manager. Visitors, including family, to rehearsals are not allowed unless special arrangements have been made with the stage manager. This does not include staff or board members. For those being picked-up after rehearsals or performances, please arrange in advance to have your ride arrive at the end of the call. Please arrange for prompt pick-up, as BPA staff must remain with any minors waiting for a ride.

PERFORMANCES

The callboard is located by the dressing rooms. Please visit the callboard each time you arrive for a performance to sign-in and check for notes and announcements. BPA makes an effort to keep the dressing areas private, however we cannot ensure the safety of your belongings in the dressing areas. Please do not bring your valuables to your call. BPA will not be responsible for lost or stolen items. To insure the privacy of fellow actors, please do not allow your friends and family in the dressing rooms before or after the performance. Please do not eat, drink anything other than water or smoke in costume.

SHOW MAINTENANCE

Once the show opens, the stage manager is in charge of the production. During the run of the show, please work with the stage manager to maintain the intent of the show as the director developed it. The stage manager will give notes as deemed necessary either in person, at cast meetings or via the callboard. Please respect the stage manager’s charge to keep the show as is, and do not embellish your performance beyond what was directed. Please report any damaged costumes, props or scenery to the stage manager immediately.

Media Coverage

Directors, actors, designers, faculty, and students may be asked to be available to members of the media for interviews. BPA will ask actors to participate in photo and video shoots as necessary for programs, lobby displays, our Facebook page, website and to distribute to the press. All cast members will be added to our mailing list and will receive constant contact emails from BPA. To opt out, please contact Matt Longmire at mlongmire@bainbridgeperformingarts.org.

BPA Ticket Procedures

While it is difficult to adequately thank the volunteers, artists and staff who work with BPA annually, one way is by seeking to provide a way for those valuable people and their friends & family to see a production on which they work. The following outlines the ticket policy as developed by the board of trustees and BPA staff. Please use this procedure to see the production. Due to fire code regulations, watching from other areas of Hodges Hall is not permitted.


Ticket Ordering

Please call the box office to make reservations or go to our website for online ticket sales. All cast, band, crew & artistic team members are instructed to have your friends and family call the box office, 206-842-8569, to arrange for tickets.


Production Comps

All cast, crew, band and artistic team will receive 2 tickets to the performance of your choice during the run of the show, provided that there are seats available. You must reserve these tickets at least 48 hours in advance by calling the box office during business hours or emailing boxoffice@bainbridgeperformingarts.org

Please note that traditional volunteer opportunities will be limited in Theater 3 as Bainbridge Cinemas employees will be staffing our events. We look forward to welcoming back all our wonderful volunteers when we are back at The Buxton Center.
